The Office of the Future: Automation and Innovation in the Virtual Workplace

View Comments

The workplace is changing. Although the physical office can still be a place of productivity and collaboration, companies are empowering the individual worker by providing all the tools necessary to be a valuable member of the organization from any corner of the globe. Today’s workforce is becoming increasingly flexible, mobile, and even global in nature — virtual collaboration is at the center of the workplace and shaping the way businesses operate now and for the foreseeable future.

The strong influence mobility has had on the workplace can be found at the epicenter of this shift. As smartphones and tablets have become rooted in our personal lives, workers have found these devices to be beneficial in facilitating their work responsibilities as well. As a result, many employers have embraced the Bring Your Own Device (BYOD) trend to foster collaboration among employees outside the office. The introduction of mobile devices in the workplace has deeply affected the way people work as they increasingly rely on their personal smartphone and tablet for email, note-taking, and video conferencing. Since BYOD policies have allowed workers the flexibility to conduct regular business from even the most far-reaching areas around the world, the need to confine work between the four walls of an office has decreased, depending on the company, driving further adoption among telecommuters.

The same factors that are driving companies to downsize their physical office spaces has resulted in the rise of temporary contractors as an alternative to full-time employees, thereby creating the need for secure collaboration apps with functionality spanning across corporate firewalls. Advances in mobility and Internet-based technologies have enabled employers to connect with individuals willing to work on a short-term basis without needing to be located within the same time zone. By breaking down the geographic boundaries that have historically limited organizations to a select pool of qualified candidates, mobile devices and collaboration apps now allow independent employees to hit the ground running and remain connected to their working groups from anywhere in the world. The opportunity for employers and hiring managers is compelling, as the potential size of talent pools multiplies significantly. In fact, a recent study surveying more than 33,000 workers in 26 countries found that contractors are more engaged and more innovative than regular employees.

In the office of the future, the evolution of technology allows the workplace to become increasingly virtualized. Within a virtualized environment, cloud is the most important ingredient to help businesses automate processes, simplify content, and facilitate workflows by providing a centralized, secure infrastructure for collaborative solutions. In addition, in past years there were only a select few enterprise-ready devices with applications for business collaboration – most notably, BlackBerry devices. Now, there are a wide array of devices offering improved functionalities to drive productivity and reduce the need for multiple machines.

With cloud becoming a key enabler of the virtual office and open to all organizations, small-and medium-sized businesses (SMBs) have benefited greatly from cloud by operating with the same top-notch software as their larger peers. In the early 2000s, collaboration tools were catered to companies running software on-premises, namely large organizations with significant IT budgets and footprints. Now, in large part because of the prevalence of the cloud, SMBs are getting more value from cloud-based vendors. In fact, Jim Deters, founder of Galvanize, famously said, “Two guys in a Starbucks can have access to the same computing power as a Fortune 500 company.” As more collaboration apps have evolved to cater towards the burgeoning cloud-first mentality among corporates, SMBs now are back in the game and able to leverage the same apps that enterprises are utilizing to drive their own process efficiencies. Since SMBs can procure first-class collaboration, the IT playing field continues to equalize across the size spectrum, thereby allowing smaller organizations to focus on their core competencies. As a result, large enterprises are forced to find new ways to innovate and remain nimble to thwart off potential competitive threats from smaller and more agile businesses.

Cognitive computing also offers a significant advantage that many have not yet tapped. Collaboration apps such as instant messaging are fundamental in helping employees sync up with each other but can also have a downside: creating too many interruptions.

Can cognitive help reduce the interruptions? Today’s workers are interrupted every three minutes on average, and it takes about 23 minutes to refocus, causing a potentially endless loop of being unproductive. To address this pain point, for example, IBM is facilitating the development of information-empowered workforces by infusing cognitive into its collaboration tools to help people work together in more intuitive ways. One of the ways to achieve this is to streamline and collapse all the apps into one collaboration solution so workers can address the action items that matter in an efficient manner.

A frequently overlooked source of interruption is unnecessary noise arising from workers’ email inboxes. Take a practical example: end users often receive multiple emails a day containing the same question. Adopting a system that can understand the question and offer the same answer to the same question automatically would reduce the amount of time a worker would spend on addressing redundant messages so they can focus on the important tasks. With society producing vast amounts of data – too much for the human brain to handle – the key to harnessing its full potential is to build cognitive-infused tools. A growing consortium of businesses recognizing the potential of untapped data has driven a major increase in the use of analytics within the workplace. Widely used to predict everything from supply chain cycles to customer buying habits, analytics are even powering tools and apps to help workers understand priorities of their tasks by reducing noise. Automation, however, when abused, can actually make workers counterproductive by creating excessive noise. As more and more capabilities become automated, there is a surge in the quantum of notifications. Automation needs to be properly managed; therefore, we need to think about it as a form of machine intelligence to keep the information moving seamlessly.

In truth, the virtualized workspace is not a one-size fits all solution. Employers need to customize environments and policies for their teams by leveraging free trials and capabilities to assess what does and what does not work for their organization. Another thing to keep in mind is resisting the urge to adopt too many apps, which may end up making employees counterproductive and create too many silos of information. A good rule of thumb in choosing a beneficial collaboration solution is to keep in mind and evaluate how one app mixes the collaboration ingredients, or the “Cs”: context, content, conversation, colleagues, and commitments.

There is a lot of promise in the concept of information-driven workforces. Companies that are able to leverage analytics are one step closer to successfully building a more collaborative and informed workforce. We are in the midst of great advances in making our workforce more connected, and collaboration tools have been at the core of this technological and cultural transformation. The next step is bringing analytics to the table to serve a dual purpose: help free up individual workers to dedicate time to more pressing and demanding work streams, as well as drive enhanced productivity within the team by identifying optimal division of labor and assessing project status and improvements. All the data is there – it is simply a matter of being able to leverage it.

What's New and Coming in IBM Connections and IBM Docs for Q2 2016

View Comments
Hours ago, IBM just made another update to IBM Connections Cloud.

To start off, community managers and administrators have access to even more metrics.  If you are an organization administrator, you can easily see how your user base is getting business value out of IBM Connections. For example, you can track Connections Cloud events such as every time that a user reads a blog entry, creates a To do item in an Activity, updates a wiki page, or follows a Community. You can drill down on one application or a particular time period. You can set filters to track how many people viewed a blog in the Customer Support Community in the last seven days, last four weeks, last quarter, or last 12 months.

Community owners can also get metrics only on the communities that they own. Track who visits the community, information shared such as comments, and participation in such activities as downloading files.

In an upcoming release this quarter IBM is also going to be releasing some significant enhancements to search.  Want to learn more and see what else is coming in the rest of Q2 for IBM Connections & IBM Docs? Then check out this deck:

And there's more that was released if you are using IBM Verse. Check out the full list of what's new in IBM Connections Cloud. IBM Connections is ready to transform your organization, anywhere in the world. And since today is Monday, I figured I would leave you with this.

Check Out What's New In IBM Connections Social Cloud - Q1 2016

View Comments
As we get rolling into the second quarter of the year, I'll be sharing soon what to expect in terms of deliveries for IBM Connections Cloud for this quarter. First, I wanted to take the time and summarize the deliveries that we did in Q1 and had been announced at IBM Connect 2016 (and did you see that we'll be at the Moscone Center next year on February 20 - 23, 2017 ? Sweet !)

So what became available in the first three months of the year ? Jim Puckett, one of the product managers for IBM Connections, put together this quick slide deck that walks through all the new enhancements.

Note: the mobile updates require a new mobile update so check the app stores for an update (at this point the target is next week).

As a reminder, you can always keep track of the enhancements (current and past) in this page. Still not on IBM Connections Cloud and want to learn more? Check out this video:

Also, don't forget to sign up for Social Connections 10 as that will be a great opportunity to meet with the Designers and Product Managers and check out what else is coming!

Available for Download: IBM Docs 2.0 and IBM Connections 5.5

View Comments
As promised earlier this week, the recently announced IBM Connections 5.5 and IBM Docs 2.0 are now available for download.

As part of the launch, on Wednesday the product managers hosted a webcast to take you through some of the highlights of that release. If you missed it, you can still watch the recording.  Then, yesterday the product managers hosted an "Ask the Product Managers" session. There were so many questions that came in and were answered in hour! That session was also recorded. I did get a suggestion about getting a transcript and posting that for consumption so will look into that.

Below you will also find a presentation similar to what was used at the webcast earlier this week with details on what's new in this release.

And if you want to see IBM Connections 5.5 in action, check out the demo below:

Go get it and happy installing ! (oh and happy holidays and happy new year!)

IBM Insight 2015 - Check Out What You Missed

View Comments
Last week was a wild ride over at IBM Insight 2015. The IBM Verse and IBM Connections teams were there to share the latest about our products. It was a great opportunity to meet new customers, partners, and fellow IBMers.

One of the highlights of the conference, was the Super Session by my colleague Rob Koplowitz. He co-presented with Jason Silva, the host of the TV show Brain Games (catch it on Netflix). You can watch a replay of his session here:

I co-presented on 3 different sessions around Application Development on top of our cloud platform, Mobile Collaboration, and working with content with IBM's enterprise file sync and share (EFSS) offering, IBM Connections. A key capability here that I wanted to cover was the latest and greatest around IBM Docs. We actually have a major release of IBM Docs coming up here very soon. And given that IBM Docs seamlessly works with IBM Content Navigator it was really well received. If you have IBM Content Navigator, don't forget to take advantage of your entitlement to IBM Docs today!

I've uploaded the presentations so you can see the content that was shared.

So what's next ? You NEED to come to IBM Connect 2016 in January 2016. In fact, John Hernandez invites you personally:

Time to Register for IBM Connect 2016

View Comments
It's time to start getting ready for IBM Connect 2016. All abstracts have been submitted and we are now finalizing the selection of the sessions. If you register by October 27th, you can enjoy some discounts as laid out here.

Not sure what IBM Connect is all about ? This is our yearly conference where we share our latest product updates and directions, a great opportunity to network and meet fellow users and partners/developers and learn from other success stories. Here's a bit more about the conference.

I'm specially looking forward to all the customer success stories. Based on the abstracts submissions that I've seen, I hope that we can select as many customers as possible. I often find myself learning tremendously from the stories that customers share about their deployments and what they are doing to drive a culture shift.

Adding to that, it's the abstracts that I'm seeing on application development perspective. Development is big part of my background and there's lots of good content there that I want to participate in as well.

Haven't started building your new digital collaboration platform ? Don't be left behind!

So stay tuned for details of the sessions that will be accepted. For now, go and register!

Time To Get Ready for IBM Insight 2015

View Comments
October is here so that means that IBM Insight 2015 is just around the corner (oh and lots of candy in Halloween)!

At the end of the month, I'll be heading over to Las Vegas for the annual IBM Insight conference. As usual, we'll be participating in various sessions.  At this year's conference, Jason Silva, host of National Geographic's Brain Games (you are watching that show on Netflix, right?), will lead a conversation about the potential to extend collaboration with technologies like cognitive computing, increasing our potential as individuals and changing the way we work together. Rob Koplowitz from IBM will continue to the conversation to discuss how IBM is applying the power of Watson and other technologies to make teams and people more productive, and better connected to the insights, content and files they need to succeed at work.

The team has put together this handy guide so you can easily see sessions where the social business team will be participating. I'll be covering the latest in our mobile portfolio, application development and IBM Connections.

IBM Connections Adds Secure File Sync and Share Offering On-premises

View Comments
Following the release last quarter of our secure file sync and share offering in cloud, today we have just released the equivalent offering for those customers who would like to deploy this on premises. This new offering gives customers a new way to buy IBM Connections and get just the Files portion of the platform. This makes it easy to get started and customers can grow and buy the entire IBM Connections suite once they are ready to use other capabilities such as Communities, Forums, Ideation, etc.

The capabilities have already been highly praised by analysts such as Forrester and OVUM. In fact, check out this report from OVUM to find out why IBM Connections is a strong candidate to provide all the benefits and features an enterprise user might need from a file sync and share solution.

This offering includes:
  • Mobile apps for iOS and Android
  • Desktop plugins for Microsoft Windows and Mac (including integration into Microsoft Office 365 Desktop apps such as Word, PowerPoint, Outlook and Excel)
  • External file sharing (ie. share files with people outside of your organization)
  • Share files with individuals or groups
  • Lock files for editing to prevent conflicts
  • View files online without having to download
  • Control who can view/edit your files and who can re-share them
  • View who has downloaded your files and which version they have
  • See how the file has been shared throughout your organization
  • and more... !
Available add-ons:
  • Compliance and Governance support
  • Real-time co-editing of files without downloading
Here's a demo of the plugins and mobile apps in action:

Enjoy!

What's New in the April 2015 Release of IBM Connections Social Cloud

View Comments
As we run our final checklist to turn on the new features, I wanted to give you a heads up as to what to expect next week.  I had the opportunity to give a preview of these to the audience at Social Connections, the independent IBM Connections user group, last week in Boston.

The conference was great as usual.  It was completely sold out as usual was great. I had the opportunity to meet with developers (check out this related post) as well as customers/users.  I learned about how they are driving the culture shift and increasing the adoption of Connections within the organization.  So much insight! The next Social Connections has been announced for October 2015 in Stuttgart, Germany (Oktoberfest anyone?)

So on to next week, here's a few things that you can expect:

  • New custom layouts for communities so that you can tailor your communications to your team
  • Drag-n-drop apps between columns in a single step
  • Responsive apps so that they adjust to the right column width
  • Type-ahead search for recently visited content to get back to where you've been faster
  • Access Activities via the mobile device

Here's a sample of a community with apps moved around:

To give you a visual idea of what to expect, check out these couple of slides:

And for those of you who couldn't make it to Social Connections 8, here's the presentation that I delivered:

Enjoy!

Updated Desktop Plug-Ins Available Today and New Features Coming to IBM Connections Cloud Next Week

View Comments
As mentioned in a previous entry, we released a File Sync and Share only offering earlier this week. Today, I have some good news.  Today we have released the latest version of our desktop plugins for Mac and Windows in prep for the new feature that will start appearing in IBM Connections Cloud next week.

This month's release continues to focus on our file sharing and sync capabilities. This release also introduces new features to help teams better organize their communications. Here's a sampling of the new features:
  • Team sites and communications
    • Rename apps (e.g. rename Wikis to Documentation)
  • File sharing and sync
    • Drag-n-drop target to upload files
    • Add multiple files to sync at once
    • Mac plug-in: ability to specify file extensions to ignore, enable beta features (if you like living on the edge!), and turn on/off logging for troubleshooting purposes
    • Federated authentication support (SAML) for Mac/Windows (cloud only)
  • Mobile
    • IBM Docs support in iOS (view and co-edit documents). Watch out for an update to the app
    • Citrix support for iOS and Android
    • MobileIron support for Android.
  • Rich text editor
    • Ability to sort data in tables in the rich text editor
    • Permament Pen - those of you used to Verse or IBM Notes will recognize this feature. This allows you to set a custom style so that when you revise content (e.g. wikis) all your markup is done in a specific color/font/style
As mentioned above, you can now sort the data in tables within the rich text editor as you can see below:

I've also created a presentation that shows the new features in this release:

For more details on what's new in the March 2015 release, check out the documentation here.

If you've missed what we've released in previous months, check out the history of new features here.

IBM Creates File Sharing and Sync only offering and it's available today

View Comments
Fresh off the presses! The IBM Connections Files cloud offering is now available in our cloud.  If you are already an IBM Connections customer there's nothing for you to do. However, if you've been thinking about starting with IBM Connections, this might be a good place to start as you get just the core file sharing and sync component of IBM Connections and then upgrade to full the IBM Connections suite as your team needs more capabilities.

IBM Connections Files Cloud is a new standalone cloud service that combines the ability to share files with internal and external users with the ability to synchronize users' files across their own devices. Small to medium businesses, line-of-business departments, or corporate IT can sign up easily and start using the service immediately. The familiar browser interface, desktop clients, and mobile applications provide simple ways to get to the most important files and keep them in sync with other users and devices. Each user gets 1TB of space and administrators can always get more as needed.

Check out Ovum's report on why IBM Connections file sync and share is a leader in this space.

IBM Connections Files on Cloud empowers organizations to increase productivity, make speedier business decisions and enhance innovation:

  1. One place for enterprise file storage, sharing, and syncing plus social – find experts, see profiles, post status updates, find content with tags and more.
  2. Securely access files anytime, anywhere, on any device.  Create, share, find, store, review, and even edit online and offline, all in a security rich environment, designed to meet IT needs
  3. Simple collaboration inside and outside your organization. Easily and instantaneously share files with colleagues, partners, clients and suppliers.
  4. Robust access control.  You decide who can read and edit files with role level access control.  The included Profiles capabilities allow you to find and connect with colleagues via their business card and contact information.
  5. More value for your money. You get market leading file sync and sharing capabilities PLUS the benefits of key social collaboration capabilities at a lower price than many other vendors.

Here's a demo I did recently that shows the IBM Connections file sync capabilities on a Mac:

My deck from IBM InterConnect 2015 and IBM Connections 5.0 CR2 is here!

View Comments
Last week was pretty busy as I spent the whole week at IBM InterConnect 2015 a conference focused specifically on cloud and mobile. There were 21,000 attendees and over 40% of the attendees were attending an IBM conference for the first time.

In Tuesday's keynote, Scott Souder demoed IBM Verse.  During the conference, the hashtags related to Verse,  #IBMVerse and #NewWayToWork,  both trended in Twitter worldwide !

I also had a chance to present the roadmap for IBM Connections with the attendees at the conference. For those of you who attended IBM ConnectED 2015, I did a replay of the keynote demo combined with the roadmap presentation on what's coming in IBM Connections.

Here's the presentation I shared at IBM InterConnect 2015 (#ibminterconnect):

As you'l see in page 48, we also released IBM Connections 5.0 CR2 last wee. Here are the new features you'll find there:

  • IBM Docs integration with IBM Connections Content Manager (CCM)
  • External user support in CCM
  • Preview files stored in CCM
  • Thumbnail view of files in CCM
  • Support for DB2 10.5

Here are the updated system requirements for IBM Connections 5.0 CR2.

IBM ConnectED 2015 Keynote Recap - the IBM Connections Demo

View Comments
It's hard to believe that just a week ago was the keynote (aka OGS ... aka the Opening General Session) at IBM ConnectED .  This year I again had the opportunity to demo during the keynote and present IBM Connections Next, the next iteration of our market leading enterprise social collaboration platform.

Prior to the demos, some interesting stats were shared. The one that caught my attention the most is that the IBM Verse announcement gathered more impressions than any other IBM announcement, including Watson, the IBM + Apple partnership and the IBM + Twitter partnership. That's HUGE!

The onto the demos. This year, Scott Souder focused on IBM Verse and I focused exclusively on IBM Connections. I wanted the audience to take a way a few things: 1) our focus on design, 2) our focus on helping people understand what's important so you can work on what matters, and 3) our focus on reducing interruptions.

Updated 11/Feb/2015: Here's a recording of the OGS (and you can skip to 37:30 for the IBM Connections demo):

For another perspective, one of the attendees in the first row captured the keynote and made it available in YouTube. Enjoy the keynote here (and you can skip to 54:00 for the IBM Connections demo):

And here's a sampling of the tweets during the OGS:

Beyond IBM Connections Next, there was also an announcement for a new IBM Connections offering that's just for Files. This will be the lead offering to compete in the Enterprise File Sync and Share space.  This is in response to many users loving our file sync capabilities, and in some cases asking for just that (without the other collaboration aspects from Connections such as Communities, Wikis, Blogs, etc). Analysts have also already highly rated IBM as a leader in the Enterprise File Sync and Share space.

This new offering will give you Files only, along with expertise search, social analytics and access to our desktop and mobile apps.  Users will have the option to buy upgrade to other cloud offerings such as Chat, IBM Verse, Web Meetings, IBM Docs, etc. The offering will be available as part of our March 2015 deployment.

Additionally, customers looking for compliance will be able to start using the Actiance Vantage offering with IBM Connections Cloud soon.

From the OGS, I headed over to the Dolphin for the What's New and Coming in IBM Connections and IBM Connections Mobile.  I'll cover that in the next post.

Check It Out -- New IBM Connections Features Available in Cloud

View Comments
Over the weekend, IBM rolled out new features to IBM Connections Social Cloud, the market-leading enterprise social collaboration platform.

In this month's release (if you are wondering, we'll skip updates in December because of the holidays so the next release will be in January), you'll find capabilities that the community has been asking for in the IBM Connections ideation area.

Our team put together a presentation so that you can see the new capabilities (see below) and here are some highlights I wanted to call out:
  • User Experience
    • With the announcement of #IBMVerse last week, we've enabled a new theme to match the visuals found in that product. Admins can choose to use this new theme. We'll keep updating this one, though don't hesitate to let us know what you think about this one.
  • Files
    • New file sync and share plug-in for the Mac
    • Personal file storage now up to 1TB at no additional cost
    • Individual per file limit now up to 2GB (Safari/Chrome/Firefox browser required)
    • Admins now have more control over what users can do with files on mobile
  • Communities
    • Community owners can now disable the Mail Community option
    • Community owners can now reposition the Members, Important Bookmarks and Community Description apps
    • Store up to 50GB of files in Community Files at no additional cost
    • Attach up to 5GB of files in Community Wikis at no additional cost
Here's the presentation (and check out the slides towards the end for a sneak peek of the updated mobile app coming in the next few days):

For the entire list of what's new (including in the chat, messaging, and meetings components), check out the latest What's New in IBM Connections Cloud documentation.

Enjoy!

How To Take Notes While Mobile With the IBM Connections iPad App

View Comments
As I get ready to go to IBM Insight next week it occurred to me that it's good timing to talk about a question that I've gotten recently. Specifically, some colleagues have been asking about a way to take notes while traveling for a customer meeting or industry conference.

The way I do it is with the IBM Connections iPad app.  In the demo below, you'll see how to start creating a note from scratch.  One of my favorite capabilities is that you can co-edit with multiple people at the same time.

So imagine going to a conference and you and other colleagues at all taking notes in the same place without overwriting each other.  Perhaps one of you is taking pictures during the keynote and adding them to the note, while the other is writing down key bullet points.

Once you are done, you can publish the note and make it available to other colleagues in the organization that perhaps couldn't travel to your meeting.

Because this is all done inside the Connections app, the document security is kept and you don't need to take it out to another editor, and then bring it back.

So what do you need to make this happen? Whether you are a cloud or on-prem customer all you need is the latest version of our free iPad mobile app plus the IBM Docs add-on.

If you want to start playing with this, you can start a free 60 day trial of IBM Connections Social Cloud today!
